What is Timeline?

The Timeline view gives you a real-time, visual representation of all tasks assigned across your team. Think of it as a dynamic resource planner: one central place to identify upcoming workloads, reassign work, and keep everything running smoothly.

Whether you’re managing sprints, campaigns, or long-term roadmaps, Timeline helps you stay ahead of bottlenecks and capacity gaps.

  1. Open Gridfox and sign in.
  2. Click the Timeline button above your account name.
  3. The default view shows all assigned tasks across projects for the current week.

You’ll see:

Element Description
People Sidebar List of users with upcoming tasks. Expand a person to see their assigned records.
Task Bars Horizontal bars represent tasks. Duration = time between start and end date.
Date Header Toggle between daily, weekly, or monthly granularity.
Task Tooltips Hover over any bar for details: task name, project, dates, and current status.

Adjusting and Reallocating Work

  • Drag & Drop: Move tasks to a new date or person by dragging.
  • Resize: Extend or shorten a task’s duration by dragging its edges.
  • Reassign: Drag the bar vertically to another team member.

To make Timeline truly reflect your team’s real availability, Gridfox supports configuration of working hours and task allocation ranges.

Configuring the Timeline

Tasks appear on the Timeline if their table has been configured for My Work and includes the following:

Field Type Requirement
User Required (assignee)
Start Date Optional but recommended
End Date / Due Date Required to visualise task length

Admins can configure a table for Timeline using the My Work Config modal inside field settings.

Tips for Using Timeline

Use Case Tip
Planning sprints Group by team or person and view a 2-week range.
Avoiding burnout Scan for overloaded users and rebalance tasks.
Managing holidays Use filters to hide unavailable users.
Big-picture reviews Zoom out to monthly view for roadmap alignment.

FAQ & Troubleshooting

Q: I don’t see any tasks in Timeline. Why? Check that at least one table has been configured for My Work with assigned tasks that include dates.

Q: Why are some tasks showing no duration? Tasks need both a Start and End date to render as a duration bar. If only one is present, the bar may appear as a single point.

Q: Can I export the Timeline? Not yet. If you’d like this functionality, please contact us at support@gridfox.com.
