Retrospectives template
Overview
Use TemplateThis Retrospective template is an easy-to-use, flexible and centralised solution to run sprint retrospectives, capture team feedback and turn insights into action. Configure key information such as date, facilitator, status and custom categories, then link feedback to action items with owners and due dates. Simply edit and adapt to suit your team’s workflow.
Use a Calendar Screen to view action items by due date, or a Board Screen to track work by status such as ‘Planned’, ‘In Progress’, ‘Completed’ and ‘Blocked’. You can even configure Workflows for real-time notifications, for example when action items are due in the next week or when “Open Action Items” exceeds a threshold.
Understanding retrospectives
Retrospectives help teams pause, reflect and improve. They’re simple in theory—talk about what happened and what to change—but without structure, great insights get lost and improvements stall.
On one level, a retrospective is a structured conversation. You gather observations under themes like “What Went Well”, “What Can Be Improved”, “Actionable Ideas” and “Open Discussion”. You then prioritise and convert those thoughts into clear, trackable tasks with owners and deadlines.
Why this matters is straightforward: continuous improvement. Regular, well-documented retrospectives help teams ship better work, reduce repeat issues and build habits that compound over time. Clear ownership and visibility keep momentum high between sessions.
The trick is to make insights easy to capture and actions impossible to forget. Think less “sticky notes lost after the meeting” and more “feedback and actions saved in a secure, central database, visible to everyone.”
Gridfox is here to facilitate retrospectives of the highest standard.
Why Gridfox Retrospective?
We pride ourselves on making Gridfox intuitive and accessible for everyone. Our Retrospective template embodies that ethos with sensible defaults so you can run your next session immediately—no heavy setup required.
What makes Gridfox’s Retrospective template so useful is how easily it adapts. Unlike rigid, off-the-shelf tools, you can tailor categories, status lists, fields and views to match your team’s practices. Start with the built-in structure, then evolve it as you go.
As you become more comfortable, add or remove features to sharpen focus. Want additional views for visibility across squads? Easy. Need filters for “this sprint” or “my actions only”? No problem. Whatever you need to keep improvement moving, Gridfox has you covered.
Here’s a breakdown of some of our key retrospective template features.
The Breakdown
- Retrospective tables (with filters): Capture session details including Name, Date, Project Name, Facilitator and Status. Link each session to its Feedback and Action Items, and surface an “Open Action Items” roll-up so you always know what remains in progress. Use filters to view completed sessions or drill into those still underway for follow-up.
- Dashboard: Get an instant overview with charts and mini grids. Visualise Feedback by Category (e.g., What Went Well vs What Can Be Improved), Action Items by Status (Planned, In Progress, Completed, Blocked) and open items over time. Dashboards make it effortless to spot trends and celebrate wins.
- Board: Manage Action Items on a colour-coordinated Kanban board. See progress at a glance and update status by dragging and dropping cards. Navigate straight to an item to assign an owner, adjust priority or tweak the due date—keeping improvements moving between retros.
